Global technology company Zoho has announced a major update to Zoho Notebook, its comprehensive note-taking and knowledge management application, with the introduction of advanced AI-powered features designed to streamline how users capture, organise, and retrieve information. In addition, Zoho has expanded the free student edition of Notebook to include these intelligent features, empowering students to take advantage of the same innovations used by global businesses.

Built on Zoho’s privacy-first architecture, the latest version of Notebook transforms how organisations manage collective knowledge. Teams can now collaborate within dedicated shared workspaces organised by project or department. The enhanced whiteboard functionality supports multiple content formats—text, images, hand-drawn sketches, and geometric shapes—creating a unified environment for creative collaboration.

Seamlessly integrated across the Zoho ecosystem, Notebook connects with tools such as Zoho CRM, Zoho Projects, and Zoho Mail, allowing users to reference, create, or share notes without switching applications. This integration eliminates information silos and helps maintain workflow consistency across teams.

AI-Powered Productivity with Notebook AI

The newly introduced Notebook AI, powered by Zoho’s in-house AI stack, Zia, brings intelligent automation directly into the note-taking experience through several advanced features:

  • Intelligent Q&A Assistant: The “Ask with My Content” feature retrieves context-aware answers from personal notes, while “Ask Anything” provides insights on any topic.

  • Meeting Notes: Automatically converts spoken content into organised, timestamped notes with speaker identification and summaries—ideal for meetings and interviews.

  • Mind Map Generation: Transforms lengthy documents into clear, hierarchical mind maps for instant comprehension of complex information.

  • Smart Note Creation: Enables instant generation of structured content such as checklists, tables, templates, and tagged notes.

  • Writing Enhancement: Offers real-time assistance for grammar, summarisation, rephrasing, and tone adjustments tailored to the intended audience.

  • Multilingual Voice Search and Translation: Supports 80 languages, including eight Indian languages—Hindi, Bengali, Gujarati, Kannada, Marathi, Punjabi, Oriya, and Sanskrit—allowing users to search and translate content seamlessly.

  • Tone and Voice Customisation: Lets users tailor the tone of their content—from professional to friendly or confident—based on audience and context.

Upcoming Integrations

Zoho also announced an upcoming integration between Zoho Voice and Zoho CRM, enabling automatic call transcription and AI-generated meeting or sales notes to appear directly within CRM records. This enhancement will simplify post-call documentation and boost productivity for sales and service teams.

Reflecting Zoho’s commitment to privacy-focused productivity tools, Notebook AI is designed to augment—not replace—human creativity and collaboration. It adapts to users’ natural workflows, providing intelligent assistance that enhances, rather than dictates, productivity.

The Notebook AI features are also included in the free student edition, enabling students to organise notes, summarise lessons, and visualise ideas more effectively. Students can sign up using their .edu email IDs to access these tools at no cost.

  • Zoho Notebook AI is included in the Zoho One Premium license at no additional cost and is also available as a standalone add-on.

  • Notebook Essential remains free for individual users, while Notebook for Business—with enhanced collaboration tools—is priced at ₹333.25/user/month (billed annually).

  • The app is available across Android, iOS, and web platforms.
